Plain-English Summary. Clavis is a property deal principal, not an estate agent or data broker. We collect contact and property information from company directors, insolvency practitioners and cash investors in order to operate our Option Agreement pipeline. We do not sell your data. We do not send unsolicited marketing without a lawful basis. All deal-related communications are shared under NCNDA terms.
Clavis (“Clavis”, “we”, “us”, “our”) is operated by Clavis Properties Ltd, a company registered in England and Wales. Our registered office address and ICO registration details are available on request.
Clavis operates as a deal principal in the UK property market. We acquire contractual interests in distressed property assets via formal Option Agreements negotiated with company directors, insolvency practitioners and liquidators, and subsequently assign those interests to verified cash buyers. We are not an estate agent, introducer or financial adviser.
For the purposes of the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018, Clavis Properties Ltd is the data controller in respect of any personal data we process in connection with our activities.

We will not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects without your explicit consent.
We rely on the following lawful bases under Article 6 UK GDPR:

| Negotiating and executing Option Agreements | Article 6(1)(b) — performance of a contract or steps prior to entering a contract |
| Contacting directors/IPs identified via public filings | Article 6(1)(f) — legitimate interests (B2B deal-principal activity using publicly available data) |
| Maintaining the investor/buyer register | Article 6(1)(b) — contract; and Article 6(1)(a) — consent where additional marketing communications are sent |

All deal opportunities presented by Clavis to prospective buyers are shared under a Non-Circumvention, Non-Disclosure Agreement (NCNDA). By accepting a deal pack from Clavis, recipients agree that the information contained therein is confidential and may not be used to circumvent Clavis’s contractual interest.
Personal data contained within deal packs — including the names and contact details of company directors, insolvency practitioners or other relevant parties — is shared solely for the purpose of facilitating the assignment of Clavis’s Option Agreement interest. Recipients of deal packs may not use this data for independent contact or any purpose outside the terms of the NCNDA.
For buyers: By registering with Clavis and accepting deal materials, you agree to handle any personal data contained therein in accordance with UK GDPR and the terms of the NCNDA. You become an independent data controller for any personal data you retain and are responsible for your own compliance obligations.
We do not sell, rent or trade personal data. We may share data with:
All third parties with whom we share personal data are required to handle it in accordance with applicable data protection law.
Clavis is based in the United Kingdom. Where we use third-party service providers that process data outside the UK or European Economic Area (for example, US-based SaaS tools), we ensure that appropriate safeguards are in place — such as the UK International Data Transfer Agreement (IDTA), Standard Contractual Clauses, or reliance on an adequacy decision.
You may request details of any international transfers and the safeguards applicable by contacting us at info@clavis.properties.
We retain personal data only for as long as necessary for the purposes for which it was collected:
| Data Type | Retention Period | Reason |
|---|---|---|
| Enquiry and contact records (no deal progressed) | 12 months from last contact | Legitimate interests / potential future enquiry |
| Active buyer register entries | Duration of registration + 12 months | Contractual / legitimate interests |
| Deal-related records (Option Agreement executed) | 7 years from completion or termination | Legal obligation / contractual record-keeping |
| Deal packs shared under NCNDA (not completed) | 24 months from issue | Legitimate interests / potential future transaction |
| Website analytics (anonymised) | 26 months | Industry standard |
At the end of the relevant retention period, data is securely deleted or anonymised. You may request early deletion subject to any overriding legal obligations — see Section 10 below.
